Upon confirmation, you will be provided access to the relevant Online Learning Platform and Course Materials in accordance with your Course schedule.

Your enrolment constitutes a commitment to the full agreed Course Fee, subject to your rights under applicable law.

3.2 Course Commencement

Your official Course commencement date is the start date of your allocated intake, as communicated in your enrolment confirmation.

Access to Course Materials may be provided before this date.

Early access does not alter the official Course commencement date or six-month completion period unless expressly agreed in writing.

3.3 Course Duration

Students are provided six (6) months from their official Course commencement date to complete all mandatory Course requirements.

These include:

• Required online learning modules
• Mandatory quizzes
• Written assessments
• Practical and filmed assessments
• Required virtual mentor participation
• Mandatory in-person practical workshops

Failure to complete the Course within this period may result in delayed or withheld certification, subject to applicable law and any extension approved by ESSE Education.

3.4 Cancellation and Withdrawal

Once enrolment has been confirmed, students remain responsible for their agreed Course Fee, subject to any cancellation, refund or other rights available under applicable law.

Voluntary withdrawal or non-participation does not automatically release a student from their payment obligations.

3.5 Suspension or Termination

ESSE Education may suspend or terminate a student's enrolment where they materially breach these Terms, fail to meet payment obligations or engage in conduct that breaches our Code of Conduct.
Any suspension or termination will be administered in accordance with applicable law.

4. Course delivery and participation

4.1 Course Structure

ESSE Education Courses are delivered through a combination of guided online learning, virtual mentoring and mandatory in-person practical workshops.

Course delivery may include:

• Online educational modules and resources
• Weekly live virtual mentor sessions
• Practical in-person workshops
• Independent study and self-practice
• Written and practical assessments
• Optional individual mentor support
• Additional learning resources and educational activities

Students acknowledge that the Course requires active participation and independent learning.

4.2 Mandatory Virtual Mentor Attendance

Each Course intake includes ten (10) scheduled virtual mentor sessions.
Students are required to attend a minimum of 80% of these sessions, equivalent to at least eight (8) of the ten (10) scheduled sessions.

Students may miss up to two (2) mentor sessions without incurring an additional fee and without being required to provide a reason for their absence.

Attendance will be formally recorded and monitored by ESSE Education.

Additional Absences

Where a student misses more than two (2) scheduled mentor sessions, an additional fee of $150 AUD per missed session will apply, commencing from the third absence.

This fee applies to each additional missed session beyond the two permitted absences.

Where a recording of the missed session is available, it will be provided following successful payment of the applicable fee.

Students authorise ESSE Education to charge the applicable fee to their nominated payment method through Stripe, subject to the payment authorisation provisions in these Terms and applicable law.

The recording will only be released once payment has been successfully processed.

Students remain responsible for reviewing any missed content and ensuring they understand the relevant learning material.

Accessing a recording does not retrospectively count as live attendance.

Where a student does not meet the minimum live attendance requirement, ESSE Education may require completion of alternative learning activities or additional mentoring before certification can be issued.

ESSE Education may consider exceptional circumstances on a case-by-case basis.

4.3 Mandatory Practical Workshop Attendance

Attendance at the practical workshop allocated to your Course intake is mandatory.

Students must attend and participate in all scheduled practical workshop days to satisfy the practical training requirements of the Course.

Students are responsible for ensuring they are available for their allocated workshop dates before enrolling.

Practical workshop dates and locations are communicated during enrolment and through official Course correspondence.

Victorian workshops are generally conducted at 418 Bay Street, Port Melbourne VIC 3207, unless otherwise advised.

Interstate workshop locations will be communicated to students before their scheduled practical training.

4.4 Practical Workshop Transfers

Where a student becomes aware that they cannot attend their allocated practical workshop, they must notify ESSE Education in writing as soon as reasonably possible.

Requests to transfer to an alternative workshop intake are subject to availability, scheduling and approval by ESSE Education.

The following transfer conditions apply:

Four (4) weeks or more before the workshop

Students who provide at least twenty-eight (28) calendar days' written notice may request a transfer to an alternative available workshop without incurring an additional transfer fee.

Between eight (8) and twenty-seven (27) days before the workshop

Students requesting a transfer during this period will incur an administration and workshop transfer fee of $250 AUD.

Seven (7) days or less before the workshop

Students who cancel or request to transfer within seven (7) calendar days of their scheduled workshop will incur a late cancellation fee of $500 AUD per affected workshop day.

For a four-day workshop, this may total $1,500 AUD.

All workshop transfers must be approved by ESSE Education in writing.

A transfer request does not guarantee placement in another workshop intake.

Students remain responsible for completing their practical workshop requirements within the six-month Course completion period.

4.5 Workshop No-Shows and Non-Attendance

Students who fail to attend a scheduled practical workshop day without prior approval will incur a non-attendance fee of $500 AUD per missed workshop day.

For a four-day practical workshop, failure to attend all four days may result in a total non-attendance fee of $1,500 AUD.

Non-attendance does not automatically entitle the student to a replacement workshop, refund, credit or extension.

Any replacement workshop attendance remains subject to availability, approval and the applicable Course completion requirements.

ESSE Education may consider exceptional or extenuating circumstances when determining whether a fee should be waived or varied.

4.6 Failure to Complete Mandatory Practical Workshops

Students who cannot attend their originally allocated workshop remain responsible for arranging attendance at an alternative available workshop within six (6) months of their official Course commencement date.

Students must communicate with ESSE Education to discuss available workshop opportunities.

Alternative workshop placement is subject to availability and approval.

Where a student fails to complete all mandatory practical workshop requirements within the six-month Course completion period, an additional non-completion fee of up to $1,500 AUD may apply, subject to applicable law.

This fee is separate from the original Course Fee.

Any late cancellation or non-attendance fees already charged will be taken into account when assessing whether a further fee is appropriate, to avoid charging twice for the same costs or loss.

Payment of a non-completion fee does not constitute Course completion and does not entitle a student to certification.

Students who have not completed their mandatory practical training requirements will not receive their qualification until all outstanding requirements have been satisfied.

Any extension or alternative arrangement must be approved by ESSE Education in writing.

4.7 Workshop Punctuality and Participation
Students are required to arrive on time and be prepared to participate in all practical workshop activities.

ESSE Education may refuse participation where a student arrives significantly late, behaves disruptively, fails to comply with reasonable instructions or creates a safety risk.

Students must comply with all relevant studio, health and safety requirements.

4.8 Travel and Associated Expenses

Students are responsible for arranging and paying all expenses associated with attending their practical workshops, including:

• Travel and transport
• Accommodation
• Meals
• Parking
• Personal expenses

Where ESSE Education reschedules, relocates or cancels a workshop, students retain any rights available under applicable law.

4.9 Changes to Course Delivery

ESSE Education may make reasonable changes to Course scheduling, mentor allocation, workshop locations or delivery arrangements where operationally necessary.

We will endeavour to provide reasonable advance notice of any changes.

For changes to scheduled live sessions, we will aim to provide at least twenty-four (24) hours' notice where reasonably practicable.

Any changes will be managed consistently with students' rights under applicable law.

Students are permitted up to three (3) attempts per assessment submission.

Where a student has not demonstrated the required competency after three attempts, additional mentor support may be required.

A two-hour individual intensive mentoring session will be arranged at a cost of $500 AUD, subject to the student's agreement to the session and fee.

This session is designed to review assessment feedback, address areas requiring improvement and support the student in demonstrating the required competency.

Completion of the mentoring session does not guarantee a passing assessment result.

5.5 Payment Plans

Where a student selects a payment plan, all instalments must be paid in accordance with the agreed payment schedule.

Payments are processed automatically every twenty-eight (28) days, unless otherwise specified in the student's payment agreement.

Students remain responsible for ensuring their nominated payment method is valid and has sufficient available funds.

5.6 Payment Processing Through Stripe

ESSE Education Pty Ltd uses Stripe, a third-party payment processing provider, to securely process Course Fees, payment plans and additional fees incurred in accordance with these Terms and Conditions.

By enrolling in an ESSE Education Course and providing a valid payment method, students acknowledge that:

• Course Fees, instalment payments and applicable additional fees may be processed through Stripe.
• Payment details may be securely stored and managed by Stripe to facilitate authorised future transactions.
• ESSE Education may initiate additional payments through Stripe where a fee becomes payable under these Terms, provided the student has authorised such payments.
• Stripe may process relevant payment and transaction information in accordance with its applicable terms and privacy policy.
• Students are responsible for maintaining a valid payment method throughout their enrolment where ongoing payments are required.

ESSE Education does not require students to provide their full payment card details directly to staff.

Payment information is processed through Stripe's secure payment infrastructure.

5.7 Authorisation of Additional Fees

By accepting these Terms and Conditions and completing the separate payment authorisation process during enrolment, students expressly authorise ESSE Education Pty Ltd to initiate charges through Stripe against their nominated payment method for additional fees validly incurred under these Terms.

These may include:

• Missed mentor session fees
• Workshop transfer fees
• Late workshop cancellation fees
• Workshop non-attendance fees
• Applicable workshop non-completion charges
• Agreed additional assessment support fees
• Lawful payment administration fees

Additional fees are separate from the original Course Fee and may become payable during the student's enrolment.

Students acknowledge that these charges are not included in the standard Course Fee unless expressly stated otherwise.

All additional fees must be clearly disclosed, properly incurred and permitted under applicable law.

5.8 Automatic Collection of Additional Fees

Where an additional fee becomes payable, ESSE Education may process the applicable charge through Stripe using the student's nominated payment method, without requiring the student to manually complete a separate payment for each transaction, provided that the student has given valid authorisation for this arrangement.

Before initiating an additional charge, ESSE Education will provide written notification outlining:

• The reason for the additional fee
• The amount to be charged
• The applicable provision of these Terms and Conditions
• The intended payment date
• How the student may raise a concern about the charge before processing

Where practicable, ESSE Education will provide at least forty-eight (48) hours' notice before processing an additional fee.

Students will be given a reasonable opportunity to query an additional charge before it is processed.

A receipt or payment confirmation will be provided following a successful transaction.

Payment of an additional fee does not automatically waive outstanding Course requirements or guarantee certification.

5.9 Failed Payments
Where Stripe is unable to process a scheduled Course payment or additional fee due to insufficient funds, an expired payment method or another payment-related issue, ESSE Education will notify the student.

Students are responsible for updating their payment information and arranging payment of any valid outstanding amount.

Where payment remains outstanding, ESSE Education may, subject to applicable law:

• Request an alternative payment method
• Issue a payment link or invoice through Stripe
• Temporarily restrict access to optional replacement learning services associated with the unpaid fee
• Suspend Course access where contractually and legally permitted
• Take reasonable steps to recover valid outstanding amounts

Where two consecutive scheduled instalment payment attempts are unsuccessful, ESSE Education may apply a late payment administration fee of $75 AUD per applicable missed instalment, to the extent permitted by law.

Where a missed mentor session recording is subject to an additional fee, the recording will be provided once the applicable payment has been successfully processed, provided the recording is available.

Any suspension of mandatory Course access or other action will be subject to the student's contractual and statutory rights.

5.10 Payment Method Updates

Students must maintain a valid payment method for the duration of their enrolment where ongoing payments are required.

Where a nominated card expires, is cancelled or becomes unavailable, students must provide updated payment information through the secure payment process communicated by ESSE Education.
Updating or replacing a payment method does not remove a student's obligation to pay valid outstanding fees.

Students must not provide complete payment card information by ordinary email or other unsecured communication channels.

5.11 Payment Disputes and Incorrect Charges

Students who believe an additional fee has been charged incorrectly should contact ESSE Education in writing with details of the disputed transaction.

ESSE Education will review the circumstances of the charge, including relevant attendance records, cancellation notices, workshop transfer requests and payment records.

Where a charge has been processed incorrectly, ESSE Education will arrange an appropriate correction or refund.

Students retain their rights to dispute transactions through their financial institution and to exercise any rights available under Australian Consumer Law.

Nothing in these Terms prevents a student from exercising their lawful payment dispute or chargeback rights.

5.12 Payment Records and Privacy

Stripe may collect and process payment information as an independent payment services provider in accordance with its applicable privacy documentation.

Students are encouraged to communicate any exceptional or extenuating circumstances as soon as reasonably possible.

ESSE Education may review requests to waive, reduce or vary an additional fee on a case-by-case basis.

Any decision will take into account the circumstances, relevant supporting information, applicable consumer rights and the requirements of the Course.

Nothing in these Terms excludes or restricts any statutory right or remedy available to a student.

5.14 Outstanding Fees and Debt Recovery

Where a student fails to pay an amount properly due under these Terms, ESSE Education may take reasonable steps to recover the outstanding amount.

This may include written payment reminders, suspension of Course access where lawful and referral to an authorised debt recovery provider.

Any interest, administrative or recovery charges must be lawful, reasonable and recoverable under the applicable agreement and legislation.
